How to add an index to a list or library column?
In SharePoint 2016, 2013, or 2010, select List or Library, and then List Settings or Library Settings in the ribbon. Scroll down to the Columns section. Important: Although you can index a lookup column to improve performance, using an indexed lookup column to prevent exceeding the List View Threshold doesn’t work.
When to add an index to a list in SharePoint?
If you’ve exceeded the List View Threshold and been blocked, you can normally still add indexes to columns, by default, when you have fewer than 5,000 (SharePoint Server 2013) or 20,000 (SharePoint Server 2016 and SharePoint Server 2019) items in your list or library.
How to enable or prevent content from being searchable?
Navigate to the site for which you want to allow or prevent content from being included in search results. Click Site Actions, and then click Site Settings. Under Site Administration, click Search and offline availability.
How to search for information in a list?
The content can only be searched for by including the property name in the query (queryable). Info: Queryable means that you need to include the managed property name in order to search for the information you want. You could test this in your list by doing a query like this: ManagedPropertyName:QueryText.
How to index large lists and large libraries?
In an ideal situation, where the user knows the List or Library will be large, you’d index any and all columns you can. A View that’s over the threshold will generally only display if it’s filtered by an indexed column first in the view, and that filter returns no more than 5000 unique values.
Can a list be indexed in SharePoint 2016?
Unfortunately, you can’t even add an index to a column while the list contains more than 5000 items, so if your list may grow to this size, you need to prepare in advance. This will be improved in SharePoint 2016, though. The ID column is automatically indexed, so by default, you can sort on the ID column with 5k+ items present.
The list above has about three quarters of a million items, and is a test list for Repstor custodian – so this proves that yes, you can use large lists with some smart querying! Sorting will no longer work except on indexed columns.
