A shared mailbox can’t be used to archive email for an organization, except for those messages that are sent from the shared mailbox or received by the shared mailbox.

- 1) Log into the Exchange Admin Center.
- 2) Click on recipients | shared.
- 3) Edit the shared mailboxes, and click on Mailbox Delegation.
- 4) Under the Full Access field, add in the Impersonation account and click Save. This will need to be done for each shared mailbox.

If you convert to a shared mailbox, you lose the archive. An alternate suggestion would be to convert the mailbox into an “inactive mailbox” which is an enterprise level option relating to litigation hold. This allows you to retain the information forever – and release the license.
Go to the Exchange Admin center > Recipients > shared > Click on Edit > mailbox features > choose a retention policy and then enable litigation hold. Go Office 365 Admin Center > Active Users > choose unlicensed > select the specific shared mailbox to give it a license.
What license type is needed for a shared mailbox less than 50GB in size?
